A solo podcast, two-person interview, panel discussion and video podcast have different space and production needs. Tell the studio how many people will appear, whether the recording is audio-only or video, and how long the programme is expected to run.

Share the visual direction

If the podcast is being filmed, describe the look you want: clean and corporate, relaxed and conversational, branded, lifestyle-led or something else. Reference images can help the team understand the intended set and framing.

Do not assume equipment before confirmation

Prepare the conversation, not a word-for-word script

Most conversational podcasts benefit from a clear structure rather than reading every sentence. Prepare the opening, major discussion points, guest introduction, call to action and closing, then allow enough flexibility for natural conversation.

For interviews, send the guest any essential themes in advance. This reduces long pauses and helps the recording stay focused without sounding over-rehearsed.

Plan how the recording will be published

Tell the studio whether the primary output is a long-form episode, YouTube video, short social clips or a combination. The intended platforms can influence framing, orientation and the amount of extra content you may want to record during the session.

If you need multiple episodes in one booking, estimate the duration of each episode plus reset time between guests or topics. A realistic run sheet is more useful than simply reserving the longest possible block.

Use the booking time efficiently

Arrive with guests briefed, phones silenced where possible and any brand assets already organised. If wardrobe, makeup or product placement matters on camera, include those decisions in the preparation plan. A few minutes spent preparing before the booked session can protect much more time once recording begins. If the conversation includes remote contributors, demonstrations or media playback, mention that requirement before the date so the production workflow can be discussed.
